Event series registration portal

A client required a platform on which to allow both wider registration to their event series as well as the more granular RSVP functionality to each session within it.

Some sessions were available to attend both online and in-person, others didn’t come with the choice. In turn, registrants would be joining from different locations, on differing devices and with their own preference of calendar client.

Our solution had to simplify the process of registering and joining, integrate with a registrant’s own software choices and show all times and calendar invites in their timezone, according to their chosen method of attendance.

Bespoke platform

The registration process was built and branded to the client's requirements. Any registration form field types could be added along with conditional display based on the values of other field.

Internal requirements

Where a registrant was an internal employee, detected by their email address, the form would show additional fields relative to their department.

Timezone selection

We'd detect a registrant's timezone, then suggest the event clock was initially set according to it. As registrants would be global, this took care of any potential confusion over session times.

In-person and online

Select sessions were available for both in-person and online registration. Where applicable, we'd show the option accordingly, otherwise only showing the attendance method that was available for a specific session.

Timezone amendments

Registrants could amend their event clock via their dashboard, in order to instantaneously show session times accordingly.

Custom reporting portal

The client required a real time reporting tool in order to generate session RSVP snapshots as well as wider series registration reports, at their own convenience.

Cross platform

Our solution took a session's start and end time, then let the user select the calendar to which they'd like it to be added - be that Office365, Outlook or Google Calendar.

Dynamic content

Where a user selected to attend online, Zoom joining instructions would be saved to their calendar. If a user were to attend in person, location information would be saved along with any additional information, such as parking availability.

Workflow consolidation

The platform was built to supplement registrants' existing workflows as opposed to demanding they learnt ours. As such, once a user had RSVPd to their chosen sessions, everything they needed to attend was stored to the calendar of their choice along with any reminders they chose to set.
