Seating plan

A client required a streamlined approach to a seating plan for 800 guests. Previous events had seen a bottleneck at the point of seating that had led to confusion and a lack of information for guests that had subsequently caused delays and a disruption to the event.

The event was a celebration and guests would know each other, so as well as finding their own seat, they should be able to find each other by name, department or email address.

In turn, attendees should be able to look up the name of everybody else at their table.

Search by name

Users would vary in their technical ability. Our solution offered a prominent initial call to action; to enter a name.

Backup search criteria

Where duplicate names were present, our search was configured to use email addresses as a backup unique identifier.

Search by table

In addition to performing single name searches, users could search by table number to see the other attendees they were sat with.

Mobile devices

By harnessing the technology that existed in attendees' pockets, we eliminated queues for seating plans or information points.

Sharable

The solution didn't require every attendee to access the app. Where one user had done so, they could repeat the search for nearby colleagues.

QR codes

Scanning a QR code at the venue entrance would open the wep app on a user's device, without the need for any download or permissions.

Registration

Attendee lists could be populated by import, or as part of an integrated and fully customisable registration process.

Networking

Beyond an efficient seating plan, the app could be used to search for and interact with other attendees through instant messaging and photo walls.

Gamification

Venue QR treasure hunts, in-app puzzles and leaderboards could all be integrated as part of a wider event app.
